internal regulations CREA voorfabriek

last update: 9 March 2022

Welcome to the front wing of the CREA building (“Voorfabriek”).

To keep this fun for everyone, there are rules. They stand thus:

1 general

1.1 opening hours

In principle, the building is open year-round:
Monday to Friday                 09.00 until 23.00 hrs.
Saturday                                    10.00 until 23.00 hrs.
Sunday                                     10.00 until 17.00 hrs.

Exceptions to this are:

  • The building is closed on national holidays and the period between Christmas and New Year. These days and period are specified on the CREA website each year. Here you will also find the other days on which CREA is closed.
  • The building’s opening hours are limited during the summer, between the beginning of July and the end of August. The period is specified on the CREA website each year.

Everyone must leave the building at the closing time.

1.2 security

  • The CREA building is freely accessible. Therefore, be alert and report suspicious circumstances and / or individuals at the front desk. Pay attention to your own possessions. Close and lock doors when you are the last person to leave a room.
  • CREA is not liable for theft of property from the rooms and flex rooms.
  • All corridors and the stairwell in the Voorfabriek are escape routes. This means that no items (such as furniture, boxes, etc.) may be placed in the corridors and the stairwell.
  • Users and visitors are obliged to take note of the evacuation instructions that hang in every room next to the door and in the corridors and halls, and must inform themselves of the available emergency exits and extinguishers.
  • If the evacuation signal sounds, you must immediately leave the building and report to the assembly point at the bridge opposite the J-K building. Always follow the instructions of the Company Emergency Response Officers.
  • Users and visitors must follow the instructions of the CREA staff at all times.

1.3 noise pollution

  • Take each other into account. Report complaints about noise disturbance (if you cannot resolve them with users or visitors) at the front desk.
  • Take CREA’s neighbours into account in the evening when you leave the building.

1.4 smoking, pets and bicycles

  • Smoking is not allowed in the building or on the rest of the campus. Pets and bicycles are also not allowed in the building.

1.5 the elevator

  • The elevator is intended for people with reduced mobility and for transporting (heavy) things. Everyone else takes the stairs. That seems bad, but it is not.

1.6 accessibility and parking

  • You cannot park on CREA grounds.
  • You may contact the front desk to discuss un/loading goods.

1.7 promotional materials

  • There is a flyer cabinet at the entrance for residents and users of CREA.
  • A notice board for general use is situated in the large hall on the second floor (next to room 2.04).
  • You are allowed to hang posters and / or announcements on the walls in the Voorfabriek. Other walls in the building are not allowed.
  • The CREA website contains information about all organisations in the building. Please check this information for your own organisation and submit any comments and additions to the web administrator (publiciteit@crea.nl ).

1.8 copying and printing

  • In the print and copy space near the reception you may find print / copy machines that can be used by all organisations  (A3, A4, both b / w and colour). You can buy credit to put on the key card at the desk. Print orders and copies can then be made with the key card.
  • Cost of copying and printing:

Type                   copying          printing

A4 black              € 0,05                   € 0,05

A4 colour               € 0,20                   € 0,40

A3 black             € 0,15                   € 0,30

A3 colour               € 0,40                   € 1,00

1.9 postafhandeling

  • In the print room, where the printers/copiers are located, there are mailboxes for all organisations.
  • There is no central mail delivery arranged via the front desk. You will therefore arrange to send letters and parcels yourself. Parcels are received by the reception and must be collected within 1 week.
  • If you want to have large parcels delivered to CREA, you must coordinate this with the contact person of the Voorfabriek (voorfabriek@crea.nl).

1.10 rubbish

  • Paper: a blue bin for paper is located on the platforms near the elevator of the 2nd, 3rd and 4th floor, for the users on the 1st floor it can be found in the stairwell at the back of the corridor. Paper in large quantities (printed matters or archives, for example) must be disposed of in accordance with the agreements on bulky waste.
  • Residual waste: Behind the fence in the alley next to the CREA building are containers where residual waste can be deposited. The key for the gate of the alley can be collected at the desk.
  • Glass : in the gray containers in the pantries. If these are full, you can empty them in the appropriate container in the aforementioned alley.
  • Bulky waste: contact property management (b.kamp@crea.nl) Disposal of bulky waste may incur additional costs.
  • Electrical scrap: Deliver small quantities/devices to the desk. Have larger batches disposed of as bulky waste (see above).
  • Rubbish: every room has a trash can that can be used for residual waste. Take full bags to the large grey container for residual waste in the aforementioned alley. Make sure you have a new garbage bag.
  • Empty cartridges: deposit in the appropriate boxes for “Stichting Aap” in the print room.

2 use of spaces

2.1 types of rooms

  • The Voorfabriek has its own spaces and flex spaces. The allocation committee determines whether an organisation will have its own space or whether it will become a flex user.
  • Own spaces are rented out by one or more organisations for the duration of an academic year (1 September to 31 August) for exclusive use. You have to take care of the interior yourself.
  • Flex spaces are available for all other on-premises organisations to meet and / or work. CREA provides a simple design with tables and chairs.
  • Every flex organisation has access to a storage cabinet in room 2.18

2.2 procedure

  • Flex rooms can be reserved up to a month in advance at the desk (also by telephone) by people in the key list.
  • Reserve a space that matches your activity. Don’t ask for a large room with a small group.
  • The large meeting room 3.12 can be reserved by e-mail up to half a year in advance via the secretariat. This space is suitable for general assemblies for up to 40 people. For current numbers you can consult the front desk.
  • The key card can be picked up at the desk and must also be returned there afterwards.
  • If it turns out that a booked room is not necessary after all, inform the desk immediately (020-399 1212). When it is found that booked rooms are not being used, this can have consequences for bookings in the future.
  • We have many student organisations in house and would therefore like to ask you to only book rooms that you really need.
  • When you receive the key card for your own office, you will need to sign in. You do this by writing down your name and the time you will receive the key card in the folder in front of the reception. When you leave the office again, hand in the key card at the desk and sign yourself out again.

2.3 access

  • All organisations must submit the names, passport photos and telephone numbers of the persons who are allowed to collect the key card to the Voorfabriek (voorfabriek@crea.nl) by 1 September at the latest for the purpose of the key list. In the event of management changes, the organisation must send a new version of this key list.
  • There is one key card per organisation at the desk in the hall. This card gives access to the spaces that the organisation can use in accordance with the user agreement.
  • The key card can be collected by anyone in the face book. When picking up and returning the key card you have to sign in and out at the desk. The key card may never leave the premises.
  • The key card unlocks the lock on a room door by holding it in front of the lock. When the light comes on green the door is open. The lock then remains open. To close the door again (especially if you are the last one to leave) the card must be kept in front of the lock again. The light will then light up red.
  • The last person present from an organisation closes the door after the windows have been closed and the heating has been switched off. The card is then handed in at the front desk.
  • If a key card is lost, the replacement costs are € 50.

2.4 food and drinks

  • On each floor there are pantries in the hallway for preparing food and drinks (for example microwave meals, sandwiches, coffee) and washing dishes. Cooking on cooking plates is not allowed.
  • The kitchens must be, and remain, clean. Therefore, wash your cups and plates immediately.
  • The offices, meeting rooms and halls are not intended as reception rooms. Agreements can be made with the cafe on how to organise drinks.
  • Ordering meals is permitted on the condition that the remains of packaging are deposited outside in the waste alley the same day.
  • If you order food, make sure it is clear which organisation this is for, or make sure you are ready to receive the food yourself.

2.5 cleaning

  • The private rooms are NOT cleaned by the cleaning company. Every user will have to do the daily cleaning themselves. A vacuum cleaner can be borrowed at the counter. This must be signed in and out, just like the key card for your own offices.
  • The “Operation Fire Engine” (“Operatie Brandspuit”) takes place approximately twice a year. The cleaning service will then thoroughly clean all rooms. CREA indicates well in advance when this operation will take place. Every room must then be tidy and the floor must be cleared.
  • The flex spaces are cleaned daily on weekdays.
  • The kitchens are cleaned daily on weekdays if the floor and the counter are empty.

2.6 organisation and management

  •     Organisations in their own spaces provide the furniture in their room.
  • There are work tables and chairs in the flex rooms and there is a storage cabinet available in a separate room (2.18) for each flex organisation.
  • Organisations are responsible for the appropriate use of the rooms, flex spaces and associated storage spaces made available.
  • Problems with hinges and locks of doors and windows, general fluorescent lighting and glass damage can be reported to property management (beheer@crea.nl).
  • All walls in the Voorfabriek are made of plasterboard. That means it is not possible to hang heavy things. Always consult the management before you do anything with the walls.
  • Wall painting in own offices is allowed, but always consult the management beforehand. Upon termination of the use of a room, the walls must be delivered white again.
  • Painting of frames, doors and woodwork is not permitted.
  • Structural modifications and modifications to the rooms and installations are not permitted. If organisations have special wishes, they must first be assessed by the management. After that, the management can, if necessary, consult with the UvA facility company for the required permission(s).

2.7 data and telephone connections

  • The building is equipped with Wireless Access Points that can be used by anyone who has a UvA, HvA or Eduroam account. Everybody can use the Wifi-network Uva Open Wifi.
  • The private rooms have outlets for the use of computers and telephone. There are costs involved for this.
  • If you want to make use of this option, you must contact the system administrator.
  • The use of routers is not permitted.

2.8 costs

  • Every organisation pays €110,- annually. Furthermore organisations with an own or shared room pay €10,- per square meter of the surface of their room. An outlet for internet costs €245,- a year, outlets for telephones are free.
  • After allocation, organisations will receive an invoice which must be paid before the end of the calendar year.

3 flex spaces

  • There are open meeting corners on the platforms at the end of the corridors on the 2nd, 3rd and 4th floors. Residents, users and visitors can use these meeting corners free of charge without making a reservation.
  • Meeting rooms and private offices require a reservation and a key card.
  • In the classrooms, CREA organises evening courses. Outside of these lessons, they are available as a meeting option when there is no room in the Voorfabriek. The costs for these rooms are € 6 per clock hour.
  • Users are expected to leave the meeting rooms tidy (do not leave coffee cups, food leftovers, etc., seats and tables in order).
  • A flip-over can be reserved at the counter (free of charge) and a projector (€ 15 per use). This projector may not leave the premises.

4 sanctions

  • To keep the building tidy and safe, everyone must follow these house rules.
  • Organisations are responsible for the behaviour of their board members, members and visitors.
  • Management has the right to check all office spaces and inspects periodically. Among other things, attention is paid to the presence of unauthorized equipment, food waste/drinks and the extent to which the space is kept clean by the residents.
  • In case of violation of these house rules you will receive a warning.
  • An organisation with which the user agreement has been dissolved cannot use the facilities in the building the following academic year.
  • The allocation committee reserves the right to dissolve the user agreement, if they deem it appropriate.
